Trade Hospitality Coordinator (Temporary)

Position Purpose

Under general supervision, the Temporary Trade Hospitality Coordinator – International provides integral support to the top-notch hospitality experience for all trade guests of Delicato Family Wines global business for the International Sales department. This position will provide administrative support, coordination, and hospitality assistance to the international sales and marketing team including processing and coordinating hospitality requests, arranging all trade hospitality samples and tasting notes, responding to personalized guest requests, planning educational trade visit itineraries and assisting in executing trade events. 

Essential Duties

  • Coordinates Hospitality Request Forms and adds to the international hospitality folder
  • Requests BSEW cottage stays when needed
  • Plans and organizes the itinerary for international trade educational/incentive trips 
  • Inquires and reserves trade guests’ hotels, restaurants, and activities
  • Coordinates and books internal team members like winemakers (WMRF), brand team, grower relations and meeting rooms via email or required forms like Winemaker Request Forms
  • Works with California Wine Institute /Napa Valley Vintners team when needed for planning, confirmation, and invoice follow-up
  • Confirms all reservations and catering menus when needed
  • Books transportation service for international trade guests or international team members when needed
  • Proactively communicates with International Sales teams to understand their priorities for trade visits, including key brands and SKUs to highlight, and individual guest background and needs
  • Works directly with Brand, Sales, and Winemaking teams to understand Brand strategies and priorities and create experiences and programs to showcase BSEW wines and educate trade guests
  • Executes Sales and Internal requests for guest visitations upon arrival in DFW properties as well as specific guest requests according to the Hospitality Request Form
  • Submits Sample requests for each visit to collect required samples
  • Communicates with Hospitality Team to confirm and prepare the wine samples for each trade visit
  • Collects all tasting notes and put them on a QR code format for guests to scan and access
  • Writes recap email to commercial team after each visit
  • Assists in billing of departmental charges after guest departure
  • Hosts the Trade Hospitality events at Black Stallion Estate Winery or Francis Coppola Winery
  • Works with International Team, and Trade Hospitality Team to set up and tear down tastings and events
  • Provides general support to the International Marketing Team

Minimum Requirements

Education and Experience

  • Highschool diploma or GED equivalent; Associate’s degree in business, marketing, or related subject preferred
  • 2+ years of related experience 
  • International and/or wine industry experience a plus

  • Demonstrates excellent customer service and patience
  • Must possess a friendly, professional demeanor and appearance
  • Strong computer skills, MS preferred (Word, Excel, PowerPoint, Publisher)
  • Working knowledge of the wine industry and/or culture

Certificates and Licenses

  • Valid driver’s license, vehicle and insurance required

California Pay Transparency Disclaimer: This is a Non-Exempt position. The pay range for this position is $20.00 to $24.00.

Actual placement within range will be contingent upon a number of factors, including but not limited to the candidate's qualifications, education, experience, internal equity and alignment with market data.
