Planning and Administrative Technician

Position Purpose

Under general supervision and acting on own initiative, the Planning and Admin Technician provides analytical and technical administrative support to ensure uninterrupted, efficient cellar operations. Work is of an extremely critical nature and requires a high level of accuracy and attention to detail.


Essential Duties

  • Prioritize, produce, monitor and communicate weekly detailed cellar production schedules based upon input from Winemaking, Marketing Customer Service, and all planning department areas.  Validates weekly cellar schedule with Shift Supervisor or their representative.
  • Facilitate a daily cross-functional production order huddle, to include but not limited to wine making and cellar operations, providing visibility to mid-term process order statuses
  • Resolves detailed production conflicts based upon the production plan.  Make changes or corrections to Production Orders and adjusts production plan as needed
  • Monitors Production Order completions and releases next step in processing flow as queued on the production plan and approved by Winemaking. This includes bottling and export shipping filtrations.
  • Produce (and review) Cellar production orders as per established winemaking criteria.
  • Assembles bulk inventory documents and records, reviews for accuracy and release/delivers to Compliance where they are available as required during Industry regulatory audits such as ISO, Food Safety or TTB audits.
  • Assembles daily harvest grape receiving crush order packets, prints related crush order reports, reconciles weight tags with DV System reports and verifies that all compiled information is correct before delivering packets to Compliance.
  • Assists the department manager/supervisor in investigating processing discrepancies by utilizing DV System, Cellar Supervisory staff, and Cellar personnel as needed in order to resolve gauging and timing issues.
  • Supports Bulk Scale operations by helping to coordinate the daily shipping/receiving activities for all DV bonded facilities by working closely with the CRG Customer Account Managers, Cellar Production, Winemaking, and Planning verifying tanks, blends, and analysis is correct prior to releasing for shipment. Also updates shipping/delivery schedule, creates shipping/receiving Production Orders and assists with covering for breaks, lunches or emergencies as needed.
  • Weighs tankers in and out of DV bonded facilities ensuring adherence to the laws, rules and regulations of the State of California Department of Transportation
  • Prepares scale documents by completing accurate, and legible documentation to include the following: Bill of Lading, Weigh Tag, Routing Slip, Sample Labels, Export Log, Proof Of Export Log (P.O.E.), Canadian Export Documents (juice), and Gallonage Sheet (DMW juice receiving)
  • Contacts trucking companies for missed appointment times and assists the Bulk Shipping Coordinator by updating the shipping/delivery schedule
  • Maintains Routing Slips, Sample Tags, Export Sample Boxes, as well as stocking the sample closet with the appropriate supplies as they prepare for in bound/out bound loads
  • Maintains supplies by monitoring seal usage, weigh tags, sample glass, and bill of lading paper, informs Supervisor or Manager when amounts reach the re-order point
  • Checks operating condition of the forklift daily
  • Observes all safety rules for operating forklifts while safely keeping up with production operations
  • Verifies all materials are correct to production orders and supplies lines with materials
  • Reads and understands production lines work order instructions
  • Able to stack full pallets to a level of 4 pallets high safely

Non-Essential Duties

Additional Duties during Harvest/Essential Job Functions:

  • Establishes harvest season processing plans, goals, and guidelines in conjunction with winemaking criteria, programs, and available resources
  • Attends daily grape scheduling meetings
  • Writes and reviews Production Orders for grape receiving, fermenter ingredient additions and solids management
  • Creates lot numbers for new vintage grapes, juice and wines
  • Writes drain and press and rack out of Drop Zone Production Orders. 

Non-Essential Duties:

  • Assists Cellar Management and Supervisory staff in special projects (data gathering, data input) as needed
  • Assists Process Control by updating or making changes to shipping/receiving Production Orders and reconciles juice receiving from DV bonded facilities as needed
  • Loads and unloads materials and goods, verifying accurate counts
  • Ensures warehouse materials are properly stacked and sorted
  • Maintains organized and clean workplace

Minimum Requirements

Education and Experience

Bachelor’s degree in Business, Finance, or Supply Chain preferred,

3-5 years progressive experience working in a supply chain environment

2-5 years experience in large scale winery

Knowledge, Skills, and Abilities. Type 45 wpm, 10-key by touch

Proficient in Microsoft Word, Excel, and Outlook (email)

Excellent communication, organizational, record keeping, strong analytical skills, able to work in a fast-paced environment.
