Sales & Project Administrator

Position Purpose

Acting on own initiative this position coordinates and conducts the administrative duties for the Exclusive Brands Division including but not limited to; tracking of all pending projects and disseminating of new product launch tracking reports to the VP-GM and relevant sales managers, preparing and distributing sales, inventory and production reports; managing customer pricing, completion of new item distributor or customer set up requirements and tracking of orders to plan.  Acts as a liaison with Customer Service and Compliance departments on routine customer order / pricing issues and state registration completion.  Organizes all division meetings both internally and externally and assists with sample order processing, hospitality and events.

Functional Responsibility

  • Acts as the primary organizer for all division meetings, presentations, project tracking, and pricing accuracy

  • Provides input and assists with the monitoring of pricing and gross profit margins for all products

Essential Duties

  • Prepares and distributes monthly sales, inventory, Nielsen / IRI brand performance reports and maintains key reference materials and databases
  • Responsible for all new item set up with retail customers and distributors and maintenance of Trevarian Sales System and MDM System at Beverages & More
  • Works with VP-GM and Finance managers to develop accurate pricing by market and then monitors and tracks the implementation of market pricing to ensure all markets are delivered on schedule
  • Tracks all new and potential Exclusive Brands projects, works closely with VP-GM and the Sales Managers on product status to ensure that deliverables are executed within the targeted customer timeline and distributes project status reports to Sales Managers
  • Works closely with the VP-GM Exclusive Brands to ensure all pricing, state compliance and sales data is accurate; proactively identifies any risks to project success and elevates to the VP-GM when necessary to avoid delays or issues
  • Works collaboratively with Exclusive Brands Sales & National Sales, Supply Chain, and Operations to ensure on-time project completion by updating and circulating the weekly Project Tracker Status Report  
  • Coordinates VP-GM’s monthly meetings including 1:1 staff meetings, monthly VP meetings, monthly National Accounts meetings and customer meetings in Napa
  • Communicates project status and pending or new production scheduling to National Sales, coordinates pricing with Finance, and works in conjunction with Sales Managers and Compliance on distributor appointments

Non-Essential Duties

  • Organizes department documents on the Company Intranet to ensure accessibility and confidentiality and works with the Information Solutions (IS) department to ensure all key data is protected and backed up routinely

Minimum Requirements

Education and Experience

  • Bachelor’s degree in Business Management or Marketing
  • Minimum of 5 years of wine industry experience in Sales Administration

Knowledge, Skills, and Abilities

  • Requires excellent planning, organization and analytical skills
  • Must be highly professional with strong customer service and presentation abilities
  • A self-starter who is extremely detail oriented with a results driven attitude
  • Must be able to work within a team and build cooperative and collaborative relationships with those inside and outside the company
  • Must be able to work well under pressure and in a fast-paced and changing environment
  • Advanced computer skills including Adobe design platform, Photoshop, Word, PowerPoint, Excel and Outlook and experience navigating in Internet/Intranet environments and social media

Working Conditions

Office environment

Required to talk & listen.

May need to determine color, taste and smell of wine using eyes, tongue, and nose.

Must be able to lift & carry cases of wine (35 lbs.) to build customer wine displays.

May be exposed to weather-related temperature & humidity extremes.

Operates keyboard & mouse.
