Payroll Specialist

Position Purpose

Under minimal supervision, the Payroll Administrator is responsible for administering processes to support accurate and timely payroll processing for all locations.

Essential Duties

  • Responsible for timely and accurate processing semi-monthly payrolls and off-cycles for 800+ active and temporary employees in accordance with company policies, procedures, and applicable laws:
    • Processes semi-monthly and monthly payroll, bonuses, expense reimbursements, tasting room purchases, etc.
    • Analyze, prepare and input payroll data on a timely basis.
    • Provides first-rate service to company employees with payroll queries
    • Provides timely reports to outside vendors and management such as Paid Time Off (PTO), Labor Costs, Temporary Tracking, etc.
    • Maintains current documentation of the Payroll Specialist’s function and keeps backup support abreast of changes
    • Calculate and analyze payroll adjustments, wage and overtime payments, vacation payouts, and terminations accurately and timely
    • Review all new hire employee documentation for accuracy
    • Ensure compliance with all applicable state and federal wage and hour laws
    • Calculate and enter wage information, garnishments and other required data for payroll purposes
    • Maintain, input and create health & welfare, pension and insurance reports for agency payments
    • Act as liaison with outside agencies in regards to garnishments and maintain all information pertaining to such garnishments
    • Work with Accounting to balance the semi-monthly payroll general ledger interfaces.
    • Working knowledge of FLSA and other federal and state laws related to payroll (e.g., hours and taxation)
    • Research exception items and take proper corrective action.
    • Stay current on applicable state and federal laws
    • Provide input and assistance for payroll projects at the request of management, agencies or auditors
    • With with the HR Operations team to process and maintain annual W-2's, taxable fringe benefit input, 401(k) compliance and adjustment runs; develop reports to summarize this data
    • Perform administrative functions including maintaining payroll files and forms
    • Respond to employment verifications.

 

  • Serves as the primary backup for the Time and Attendance Administrator duties for all company sites:
    • Partners with the payroll department, managers, supervisors, and employees to troubleshoot and resolve issues, determining and making sure time cards have been submitted, approved and corrections are made ahead of the predetermined payroll deadline in the timekeeping system.
    • Processes timekeeping exceptions in Workforce Software, verifies available PTO or Sick, and reports any discrepancies against HR policy
    • Accountable for timely and accurate processing of all T&A transactions, understanding current Workforce Software / SuccessFactors processes and the effects they have on the payroll department, managers, and employees
    • Prepares T&A data in timekeeping system for submission to the payroll department ahead of the deadline for all payroll cycles

Non-Essential Duties

  • Assists with the coordination and delivery of HR functions and employee activities as needed
  • Performs general administrative tasks and backs up other team members as appropriate
  • Assists with various special projects and initiatives which may be confidential in nature.

Minimum Requirements

Education and Experience                                                                                                                                     

  • High school diploma is required; Associates degree in human resources, business administration, or related field is preferred
  • Bachelor’s Degree in Human Resources or Business Administration preferred
  • Four (5) or more years of experience in a payroll role for a company with 800 or more employees or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job
  • Two (2) or more years of experience with SAP SuccessFactors/EC Payroll highly preferred

Knowledge, Skills, and Abilities

  • Experience with and operating knowledge of in-house, enterprise level payroll programs for medium to large size businesses
  • Comprehensive knowledge of Microsoft Office; including Word, Excel, and PowerPoint
  • Excellent customer service skills; professional and pleasant demeanor; ability to diffuse tensions under stressful conditions; good listener
  • Excellent organizational and project management skills; self-motivated with the ability to prioritize and quickly assess what needs to get done to meet deadlines
  • Keen attention to details and thinks things through thoroughly to identify potential risks and pitfalls
  • Strong analytical skills
  • Effective team player; understands hands-on approach to providing HR support
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Ability to communicate effectively at all levels of the organization using written, verbal, and presentation skills
  • Ability to deal with information that is highly sensitive and confidential
  • Takes initiative in identifying creative ways to approach existing processes
  • Experience working in a critical deadlines environment
  • Experience processing payroll in a manufacturing, distribution and Agriculture environment (multiple work schedules)
  • Strong analytical skills
  • Bilingual English/Spanish a plus

 

Certificates and Licenses

  • PHR/SPHR certification or Certified Payroll Professional (CPP) preferred

Office environment

Operates keyboard & mouse.

May be required to drive automotive equipment.
